What each one will and will not tell you
A calculator that overstates its own certainty is worse than no calculator, particularly where wage law or state compliance is involved. So here are the limits, before you rely on any of them.
EVV readiness check
Reach for it when: You have been told you need EVV software and you are not certain whether that is true.
What it cannot do: It cannot tell you your state's current vendor or deadline, because those change. It tells you which questions to ask and who to ask.
Caregiver hours calculator
Reach for it when: You are converting a handwritten timesheet and the shift crossed midnight, or there was a break to subtract.
What it cannot do: It deliberately does not calculate pay. Overtime, travel time between clients and state wage rules are legal questions for your payroll provider or an accountant, and a calculator that guessed at them would be dangerous.
Software cost calculator
Reach for it when: You have a quote in front of you, or two quotes priced on different units, and you want them in the same terms.
What it cannot do: It does not contain competitor prices. Most vendors in this market quote rather than publish, so you enter the rate you were given. We are not going to print numbers for other companies that we cannot verify.
How these work
- Nothing is stored. Your answers live in the page address and never reach a database of ours.
- No client information, ever. None of these tools ask for a client name, an address or anything about someone's health, and you should not type any in.
- They work without JavaScript. Plain forms, results rendered on the server, so they work on an old phone and on a locked-down office computer.
- Results are shareable. Copy the address bar and the person you send it to sees exactly what you see, which is useful when the person who needs the answer is your bookkeeper.
Each tool carries its own caveats about what it cannot tell you. They are worth reading, particularly on the hours calculator, which deliberately does not calculate pay.
If a tool raised a bigger question
The readiness check often ends with someone realizing they need to understand the requirement rather than shop for software. The EVV guides cover the federal rules and the state guides cover what applies where you operate.
The cost calculator often ends with someone realizing the free state portal covers most of what they need. The free portal comparison is the page for that, and it says plainly when the portal alone is enough.
And if the hours calculator is something you are opening every Friday, that is worth noticing. Converting timesheets by hand is the specific job our payroll export removes, though a spreadsheet is a perfectly reasonable answer at a small enough size.
Questions
Do I have to give you an email address?
No. There is no signup, no gate and no result held back until you fill in a form. You will not be added to a mailing list, because there is no mailing list to add you to.
Do you store my answers?
No. Your answers live in the page address and are rendered on the server for that one request. Nothing reaches a database of ours, which is also why sharing the link shares the result.
Can I use these if I am not a customer?
Yes, and most people who use them never become one. They exist because the questions they answer are genuinely hard to look up, not as a lead capture mechanism with a calculator attached.
Can my association or state chapter link to these?
Yes, and you do not need to ask. Link to them, include them in member resources, print the results, or put them in a newsletter. No permission needed and no attribution required.
Why do these work without JavaScript?
They are plain HTML forms with results rendered on the server. That means they work on an old phone, on a locked-down office computer, and in a browser with scripts disabled. It also means the result has its own web address you can bookmark or send to your bookkeeper.
