Why we don't have feature tiers
The usual approach is to put offline capture, the audit trail or geofence verification on the expensive plan. We looked at doing that and decided against it, for a reason worth stating out loud.
Those four things, offline capture, the audit trail, geofence verification and a permanent visit record, are exactly what makes a visit record hold up when a payer asks questions. Gating them means selling a cheap plan that fails at the one job it exists to do, to the agencies who can least afford it to fail. A six caregiver agency facing an audit needs the same evidence a forty caregiver agency does.
So the price tracks the only thing that actually scales our cost, which is how many caregivers are checking in every day.
You may not need to pay us at all
If you bill Medicaid, your state most likely gives you an EVV system at no cost. In Florida that is HHAeXchange. It records visits, submits claims and satisfies the federal EVV requirement, and it is genuinely free to providers. Any vendor telling you that compliance requires buying software is selling, not informing.
Some agencies should use the free portal and stop there:
- You have three or four caregivers and you can hold the whole week in your head.
- Every visit you run is Medicaid, so there is no second set of hours to track anywhere else.
- Your caregivers are already checking in through the state system without complaints, and payroll takes you twenty minutes.
If that is you, you do not need us, and we would rather say so on our own pricing page than have you find out in month two. Where agencies do come to us is the operations layer around the portal: private pay visits the state system never sees, a schedule that changes at 7 AM, and the Monday reconciliation.
What the price does not include
Not upsells. These are things CareVerify does not do at any price, and you will need something else for them.
Payroll calculation and tax filing
We export verified hours. Your payroll provider calculates pay, overtime and taxes. Overtime rules, travel time between clients and state wage requirements are your agency's legal responsibility, and getting them right needs a payroll provider or an accountant.
Medicaid claims submission
We are not an EVV aggregator and we do not submit claims to your state. If you bill Medicaid, you keep using your state's designated system for that.
Clinical documentation
No OASIS assessments, no medication administration records, no nursing notes. If you are Medicare-certified home health, you need a clinical system and this is not one.
Everything else agencies get sold
No applicant tracking, no marketing tools, no general accounting. Each one is how a focused product turns into a worse version of an enterprise suite.
How the trial works
Fourteen days, no card required, every feature available. You will not be asked for payment details until you decide to keep using it.
The clock starts at your first caregiver check-in, not at signup.
Adding clients, entering caregivers and building your first schedule can take a few evenings around the actual job of running an agency. Starting the trial at signup would mean spending a third of it on data entry, which tells you nothing about whether the product works. Fourteen days of real visits does.
Pricing questions
What happens if I go over my caregiver count?
Nothing breaks and nobody gets locked out mid-month. We email you when you pass the limit and move you to the next plan at your following billing date, so you always see the change before you are charged for it.
What if my caregiver count drops?
Tell us and we move you down at your next billing date. Home care staffing moves around and you should not be paying for a plan you outgrew in the other direction.
Can I cancel anytime?
Yes. There is no contract and no notice period. Your account keeps working until the end of the period you already paid for, and you can export everything before it closes.
Do you charge setup fees?
No. Setup, onboarding help and data import are included on every plan. If we cannot get you running without charging you extra, that is a problem with our product, not a billing opportunity.
What happens to my data if I leave?
You export it. Visits, hours, schedules, client and caregiver records and the audit trail all export as CSV and PDF. Records stay available for a defined window after cancellation, set out in our data retention policy, because home care records carry multi-year obligations.
Do you offer nonprofit pricing?
Yes. Email us with your agency details and your nonprofit registration and we will work something out. We would rather a small nonprofit agency ran on a system that keeps a proper visit record than on paper because of our price.
