Payroll export
Turn a week of verified visits into hours you can hand to payroll
Pick a date range, resolve anything outstanding, export. We export hours. We do not calculate pay, and that boundary is deliberate.
The three hours nobody bills for
Monday morning. Someone in your office has a stack of timesheets, last week's schedule, and a calculator. They are checking whether the hours written down match the visits that were meant to happen, adding up part hours, and texting three caregivers about gaps.
Two of the timesheets are illegible. One caregiver wrote 9 to 11 on a day the schedule says she was at a different client. Somebody has 7.25 hours written as 7.15. All of it has to be resolved before anyone gets paid, and payday is Wednesday.
Three hours a week, every week, spent turning handwriting into numbers. And at the end of it you still cannot prove any of it.
How the export runs
- 1
Choose your pay period
Any date range. Week boundaries are calculated in your agency's timezone, so a Sunday evening visit lands in the week you expect.
- 2
Unresolved visits are shown before anything else
Anything still sitting in the exception queue for that period is listed first, by caregiver, with what is wrong.
- 3
Resolve or knowingly exclude
Fix the exceptions, or export without them. What you cannot do is export while unaware they exist.
- 4
Export
CSV for your payroll provider, PDF for your records. Per caregiver, with the visits that make up each total.
- 5
Payroll does the rest
Your provider or your accountant turns hours into wages, overtime and tax.
We export hours. We do not calculate pay.
That sentence is worth reading three times, because it is a legal boundary as much as a product one, and vendors are often vague about it.
First: CareVerify produces a count of verified hours. It tells you that R. Alvarez worked 38.0 hours across twelve visits, and shows you which twelve. It does not multiply that by a rate, and it has no idea what anybody earns.
Second: it is not a payroll system. No overtime calculation, no tax withholding, no travel time between clients, no shift differentials, no wage payment. Those are your payroll provider's job and we do not duplicate them badly.
Third: wage and hour compliance stays with you. Overtime rules, minimum wage, rest breaks and travel time vary by state and by circumstance. Getting them right needs a payroll provider or an accountant who knows your jurisdiction. A visit verification vendor quietly deciding your overtime treatment would be doing you harm, not a favor.
This is set out plainly in our terms of service too, in the same words.
Details that keep the numbers honest
Unresolved visits are surfaced, never silently dropped
This is the single most important behavior on this page. A system that quietly omits a visit it could not verify produces an export that looks clean and underpays somebody. Ours refuses to be quiet about it. If a caregiver's hours are going to be short, you find out before you export, not when she calls.
Every total can be opened up
A caregiver disputes her hours. You open the total, see the individual visits, the check-in and check-out times, and whether each was verified or corrected and why. The conversation takes two minutes instead of an afternoon.
CSV and PDF, because they differ
CSV goes into your payroll provider. PDF is what you keep, and what you hand to somebody asking how a number was arrived at. One file cannot do both jobs well.
Corrections carry their reasons into the export
If the office adjusted a time, the reason travels with it. Six months later nobody has to reconstruct why a visit was recorded differently from how it was scheduled.
What this does not do
- It does not pay anyone. No direct deposit, no pay stubs, no tax filing.
- It does not integrate directly with payroll providers. You export a file and import it. A one-click integration with your specific provider is not something we can honestly claim today.
- It does not submit claims or invoice clients. Verified visits can be formatted for your payer or aggregator, but submission happens in their system.
